Emails

I collect your email address when you enquire about therapy with me. Emails may be used in order to set up our initial appointment, further correspondence during our work together and for emergency contact use. I only retain the information for the period we are in correspondence or working together and then it is deleted as confidential waste. Emails are processed by Microsoft and are therefore subject to their privacy policies. I would suggest that on initial enquiry and during therapy no sensitive information be shared via email.

Texts/Calls

Text messages are used as a way of communication during your time in therapy and for initial enquires. These are deleted when therapy ends. Voicemail messages are deleted once heard. I may use your phone number to contact you or return your call, as per standard business practice. Phone calls are not recorded.

Data

Personal data provided by you during the course of our work together, whether you disclose this via email or verbally, will be held and processed in accordance with the data protection principles set out in the Data Protection Act and the General Data Protection Regulation. This includes contact details, your availability for sessions and any other personal information you supply over the course of therapy. All information/notes are stored in a locked storage which only the data controller has access to. Any use of computer for notes, research, statistics are password protected and destroyed at the end of the data retention.

I only use your personal/sensitive data in relation to the delivery of my services, and do not use it for marketing purpose or sell to third parties without the clients’ explicit consent. However, there are particularly reasons why I may need to share your data. The first being safeguarding and if you commit to sessions this is written in my counselling agreement and verbally during our first session. Secondly to ensure uninterrupted client privacy in the event of my death or inability to continue my practice, my clinical supervisor will assume data processing responsibility. Thirdly, if I am issued with a court order there may be a legal requirement to share information in your notes.
